We
would like to get something straight on this from the beginning. A
business solution should be a COMPLETE solution. Not one piece of
software that does one thing, and another that does something else. This
is what we call for want of a better expression, a "bits and pieces
solution". OK, we realize that many businesses are stuck with
legacy software from a few years ago, some of which will be quite large
databases. Many old systems running on DOS or UNIX still perform well
and are actually quicker than modern Windows bases systems. However, we
all have to move on. In some instances we would be able to import data
held in older or less sophisticated databases such as Microsoft Works,
Foxpro, Paradox, or dBase format. In some cases this may not be possible
for some reason. in this instance we can link a Microsoft Access
database directly to the other format.
We
are able to offer a complete solution for any business engaged in
manufacturing. This can be in the form of a single application combining
sales and purchases/accounting, or in two separate applications. This
would depend on the method of trading
Basically, a sales application would be capable
of:
- Maintaining a database of customers, with quick
search facility, direct emailing (from within the application).
- Maintaining a database of products, with
automated stock control if required. On line photograph of each product
if required. Automated website support.
- An easy to use Sale Order creation with
invoicing either to account customers or to "one off" or
cash customers.
- Maintaining customers accounts, with credit
control facilities, monthly statement generation and credit note
handling.
- Generating a wide range of reports suitable to
accounting and sales analysis, by customer, by product, by day,
week, month, or year. Miscellaneous sales (one offs).
- VAT tracking both sales and purchases
- Transaction balancing of banking in with actual amounts
paid into the bank
Purchases and Accounting

Tracks individual purchase invoices
which can be part paid if necessary. Each invoice can relate to many
different nominal codes (expense categories). Handles prompt payment
discounts.

Cheque payments can be entered "in
bulk" , i.e. a single cheque to one supplier can batch credit a mass
of invoices. This process is fully automated with option to generate a
report and/or remittance advice after the procedure has run. Useful
for users whose single cheque can cover 50 or 100 invoices! There is
also an option to pay or part pay individual invoices by selection.

Handles credit notes. This is done in
the same way as above, either automated, or manual credit/part credit.

Handles non invoice related outgoings
such as commissions, wages, PAYE, NIC contributions etc.

See at a glance; what's due for
payment now, month end, next month etc.

Trial balance and Trading Profit and Loss Account definable by day,
week, month year or whatever.

Manages bank accounts. Your trading account plus savings, cash account

Handles scheduled transactions. Transactions
can be either monthly or weekly scheduled transactions just like in
the popular accounting and money management programs.
The procedure handles
two types of scheduled transaction.

Transfers of money between different bank accounts.

External payments to third parties, such as rent or rates etc.
Ordinary transfers will post in batches. And it will work just as well
for cash in hand trading.

features.
- Generates "Banking In/Out Day Book" Excel
spreadsheets of the type favoured by many accountants. This type of
spreadsheet is very widely distributed in different forms by
accountants to their clients, it will be therefore possible to provide
your accountant information in the way that they want.
