New 2008 version I have now incorporated the advanced asset management features described elsewhere and also a VAT control based upon the time that rentals fall due, this additional the the pre-existing control based on rental paid. Handles all three of the above agreement types from the same screen. Users to set the default agreement type to suit. All agreement types will handle multiple hirers. maintains a database of your vehicles with pop up "service due" reminders where applicable, and calculates present book value after asset depreciation automatically. Customer database automatically logs all transactions for future reference. Contract hire and lease payments are entered from a Payment Entry screen opened from the main switchboard same as Finance House. Self Drive receipts are entered from the agreement screen as this type of agreement normally will be paid up front. Attractive main menu/switchboard as below
Self Drive Hire This is designed so that a hiring can be extended with a new return date and the amount owing will update. Agreements can be Monthly, Weekly, or Daily, with extra days being charged pro rata. An agreement can be unlimited mileage, mileage charged, or charged on an excess basis. There is provision to enter a deposit and to charge for fuel. Booking
vehicles in and out enables the application to keep a running tally on
the current mileage for each vehicle. From this, the application will
generate automatic “Alerts” when any vehicle requires servicing or
some other attention such as road tax renewal, MOT vehicle test. At
any given time, the required vehicle attentions are obtainable as a
report. The
application recognizes the “hierarchy” of servicing; that is a
36000-mile service includes a 24000 and a 12000-mile service or
whatever.
Contract Hire Agreements can be payable Annual, monthly, weekly, quarterly, daily with facility to enter three series of rentals. Any extra charges that accrue can be added to the account. An extra tab allows viewing of all the rentals received, and full on line documentation such as reminder letters, intro letter for new agreements, migration to FastTrack legal, (see below). The agreement can be with or without maintenance, in the event that its 'with' then Alerts will be generated same for self drive hire.
Lease Allows entry of advance, first primary, successive primary, last primary and secondary rentals with calculation of default liability and current arrears etc. As with contract hire there are tabs to view rentals received and on line documentation.
